Help & User Guide

This is one shared photo gallery and staff directory for the whole office. A new account starts as "Guest" (pending) and can only view the gallery; once an Administrator approves it as "Staff", that person can upload and delete their own photos. An Administrator can do everything, including approving accounts and managing everyone's role from "Manage users".

Signing up & getting approved

Everyone creates their own account the first time — there's no separate "add a person" step.

  1. On the sign-in screen, press "Create a new account" and fill in your name, designation, mobile number, CNIC, email, and a password.
  2. Your account starts as "Guest (pending)" — you can sign in and view the gallery immediately, but the "Upload photo" button stays disabled until an Administrator approves you.
  3. Ask an Administrator to open "Manage users" and change your role to "Staff" — after that, uploading and deleting your own photos works right away.

Uploading a photo

Available once your account is approved as Staff or Administrator.

  1. Press "Upload photo", choose an image file (under 8 MB), optionally add a caption, then press "Upload".
  2. Every photo automatically records who uploaded it and exactly when — this is shown under the photo and in its full view.

Viewing & deleting a photo

Click any photo in the grid to see it full-size with its caption and uploader details.

  1. Hover over a photo to reveal a small ✕ button in its corner — this appears only on photos you're allowed to delete.
  2. Staff can delete their own uploads; an Administrator can delete any photo in the gallery.

Manage users (Administrator)

This controls who can sign in, upload, and manage the gallery.

  1. Open "Manage users" to see every staff member who has signed up, with their name, designation, mobile, CNIC, and email.
  2. Change the dropdown next to a name to approve a pending Guest as Staff, promote someone to Administrator, or move someone back to Guest.
  3. "Remove access" deletes their profile from this system (their sign-in account itself needs a separate step in the Firebase Console if it must be removed too).

Frequently Asked Questions

I signed up but the "Upload photo" button is disabled — why?
New accounts start as "Guest (pending)" for safety. An Administrator needs to approve you as "Staff" from "Manage users" before you can upload.
What's the difference between Guest, Staff, and Administrator?
Guest (pending) can only view the gallery. Staff can also upload photos and delete their own. Administrator can do everything, including approving accounts, changing anyone's role, and deleting any photo.
Can I delete someone else's photo?
Only an Administrator can delete a photo uploaded by someone else. Staff can only delete their own uploads.
How do I switch between English and Urdu?
Use the language selector at the top of the screen. It changes menus, labels, and buttons instantly for everyone's own screen.
Where are the photos stored — is my data safe if this computer breaks?
Photos and profile data are stored online in this system's shared Firebase project (Storage for the image files, Firestore for the details), not on any one computer. If this computer is lost, nothing is lost — just sign in again from any other computer.
Can more than one person use the gallery at the same time?
Yes. Everyone signed in sees the same live gallery, and a photo uploaded by one person appears for everyone else within a moment.
Is there a limit on photo size?
Yes, each photo must be under 8 MB. If your photo is larger, resize or compress it before uploading.
I made a mistake in my name or designation when signing up — can I fix it?
Not from your own screen yet — ask an Administrator, who can correct it directly from the Firebase Console's "users" collection.
How do I add a caption to a photo after uploading it?
Captions are set at upload time in this version. If you need to change one, delete the photo and re-upload it with the correct caption.
What does the small chat button in the corner do?
It opens Team Chat, where everyone currently signed in can message each other — handy for quick coordination while browsing the gallery.
I forgot my password — what should I do?
Click "Forgot password?" on the sign-in screen, enter your email, and a password reset link will be sent to your inbox (check spam too) — no need to contact an Administrator.
